POSITION: Administration Officer

LOCATION: North West Youth Accommodation Service Inc.

CLASSIFICATION: Level 2.1

Social Community Home Care and Disabilities Services

HOURS: Initial six-month contract, with the possibility of extension.

Hours to be advised

1. Primary Objective

Provide administration support in the day-to-day operations of North West Youth Accommodation Service including interfacing with the public and young people via telephone reception duties

Provide confidential administrative and secretarial support including the production of high-quality documents and records and diary management.

Coordination of meetings with duties including the collation and distribution of agendas, minutes, and all relevant correspondence.

2. Environment

2.1 NWYAS is incorporated and registered as a charity, receiving funding from the Department of Housing and Public Works under the Specialist Homelessness Services (SHS) and Crisis Accommodation Programs.

2.2 You will join a small supportive team to contribute to the delivery of service to our tenants and young people in the community

3.0 Primary Tasks:

3.1 To provide office administrative duties including managing incoming telephone calls, correspondence, data systems, stationery and office purchases, processing invoices for payment.

3.2 Fulfil the role of secretariat for the organisation’s Committee including, but not limited to, preparation of agendas and minutes, management of incoming and outgoing correspondence and act as point of contact for Board members in relation to the administrative functions of the committee

3.3 Participate in staff and administration meetings, including the development of agendas, taking of minutes and meeting preparation as required

3.4 Contribute to the ongoing development of organisational policies and procedures

3.5 Work with NWYAS manager towards the development and implementation of effective administrative and information management systems

3.4 Work effectively as a member of a team in a small team environment

3.5 Where appropriate, provide practical support to case workers and tenancy officer

3.5 Other duties as delegated by the Manager.

4. Key skill requirements

4.1 Ability to develop and/or maintain accurate and effective administrative systems

4.2 Ability to manage incoming and outgoing correspondence sometimes from multiple sources

4.3 Demonstrated ability to work autonomously and collaboratively as part of a team

4.4 High level written and interpersonal communication skills

4.5 Takes initiative and is proactive towards problem solving

4.6 Has a level of understanding and compassion for the needs of vulnerable young people and housing rights.

5. Working Hours and Conditions

5.1 This position is contract part-time

5.2 Hours are 8:30am to 5pm except for monthly evening management meetings

5.3 NWYAS is committed to ongoing staff development. Workers are encouraged to participate in seminars and workshops related to their positions. A small training/supervision budget may be available of this position proves to be more long-term and Employment Assistance Program (similar to external supervision) is available to all casual/temporary staff through Amovita.

6. Extent of Authority

6.1 Direct accountability to the Manager and responsibility to ensure that the mission, policy, aims and objectives of the organisation are upheld.

Requirements:

It is a mandatory requirement that you have – or able to obtain – a Working with Children Check (Blue Card)

To be able to operate organisational vehicles you must have a current Queensland Motor Vehicle License that has been sighted by the Manager.
